What data do we collect and how do we use It?

We collect the minimum amount of personal data required in order to provide our services. In most cases this is limited to an e-mail address and a password. Where our service is charged on a per use basis we also collect the relevant information regarding your use of the service.

The data we collect is used to identify you to the system as a user and to prevent others for accessing the system as you. If we need to contact you in relation to the service we will use the e-mail address you have supplied.


We process this data based on the contract that we have with you for providing our services. This is the minimum data we must hold to provide the service to you. Where we do not have a contract to provide services to you but you require access to our system we do so only with your permission. You may withdraw this permission at any time and we will remove your personal data from our system.
We will only keep your data as long as we are required to do so in order to provide you with our services. If you terminate your contract with us we will remove your data from our system.

 

If you are using our services as part of a trial we will remove your data on expiry of the agreed trial period.

Non-personal data

In order to provide our service we collect location and other data from tracking devices.
System Loco identifies these devices using anonymous numeric identifiers. We do not
control the assets these devices are used to monitor. If you use System Loco services to
monitor people this may result in the collection of personally identifiable information. Data
may be associated with devices on our systems which may also be of a personal nature.
You maintain control of this data and we process it on your behalf. You may require a Data
Processor Agreement to be in place to allow you to share this data with us.
We may use non-personal data in aggregate form to help us improve our service.

 

How do we keep your data secure

System Loco are committed to processing your data securely. We use physical, technical and organisational measures to secure your data in accordance with industry best practices. We provide facilities for you to access your data using secure means (HTTPS) and we use appropriate protections when processing or transferring your data. Your data is only accessible to System Loco staff or contractors who have an obligation to keep the information confidential.


We may use the services of a third party data processor in order to provide our service where this is necessary a Data Processor Agreement is in place. We do not share your data with third parties for any other purpose.

Your rights

You have a number of rights in respect of the personal data we hold.

 

You may see all the personal data we hold on you.

 

You may ask for information to be corrected or removed if it is not accurate.

 

You may withdraw your consent for us to hold your data and we will remove it from our system. (provided we are not required to retain it for legal reasons)

You may ask for a copy of the personal data we hold on you in a machine readable format

If you are not satisfied with our handling of your personal data you may lodge a complaint with the Information Commissioner's Office.
